Finished work and a complete project file are different things
Equipment may be gone while delivery notes, hours or handover records are still missing. This checklist organises Hassolux; it does not decide contractual acceptance, the invoice required or legally necessary evidence.
1. Compare scope and actual work
Compare the order, confirmed changes and documentation with execution. Separate completed work, remaining tasks and pending decisions. Give open matters an owner and deadline. Define when to use Completed: it does not itself mean customer acceptance or completion of remaining tasks.
2. Review documentation
A large image count does not guarantee the crucial connection was photographed before closure. Check overviews, drainage, interfaces and issues with date and place. Open important files to identify incomplete uploads or wrong drawing versions. Mark the current record without indiscriminately deleting useful history. Photo guide.
3. Complete hours and incoming documents
Have employees review their final days, assignments and corrections, then obtain approval where required. Finishing the site does not approve its time records. Include the agreed shared period, remedial work and final transport.
Collect supplier invoices, deliveries and other evidence, and explicitly list missing documents. Read working hours and incoming documents.
4. Review commercial documents
Check quotations, invoices and corrections against customer, work and version. Identify unfinished drafts and what was actually sent. Issuing, sending and paying are separate. A project status does not settle receivables. Coordinate with the office.
5. Send the correct handover material
Choose drawings, product sheets, minutes and photos according to the agreement. Check each attachment, address and version. Internal calculations, personal notes and working photos are not automatically customer material. Review visibility without forgetting the actual message. Record content, date and expected response.
6. Update status and responsibility
Once the criteria are met, an authorised person can choose Completed, check the end date and save. This is not payment or approval.
The final six checks are clear scope and open matters, readable files, reviewed hours and documents, organised billing, checked handover and a person responsible for later questions. Keep the record in projects without mixing customers or sites.
