Identify the transaction

One customer can have several sites. Check customer, project and recipient address before creating a document. A clear name and description make later searches easier. The project supplies context, while quotations and invoices have their own lists.

Format matters too: an ordinary PDF is not a structured electronic invoice. Read XRechnung and ZUGFeRD and the German transition deadlines.

Choose the right document

A quotation proposes work and prices. An invoice records a transaction and billing state. Hassolux provides standard, interim and final invoices, credits and corrections. Choose for the actual case and verify references to earlier documents. A label alone does not determine tax treatment.

Explore quotations, cumulative billing and corrections.

Check the line items

Review customer, site and address; descriptions; quantities, units and unit prices; discounts, taxes and references; and consistent totals. A plausible total does not fix an incorrect unit. Determine mandatory details and tax treatment for the actual transaction.

Read the PDF preview

Before finalising, read the actual recipient, document type, text and amounts, including long items and later pages. Finalise after review, then use the intended download or sending workflow. A saved draft or downloaded file does not prove delivery; check the send result.

Find records by number, customer, date, status and total to distinguish draft from issued. Drawings and photos remain in the project: follow the document guide.

Keep GAEB distinct

D84 and X84 are offer returns for a bill of quantities, not invoices. A commercial PDF does not replace the client's requested structured file. GAEB explains this distinction. A supplier's offer to your business is another separate transaction.
