GAEB & bills of quantities2 min read
Missing GAEB prices and zero prices mean different things

A blank is not a price of zero
During preparation, some material costs or your own calculations may still be missing. In the GAEB editor, a blank unit-price field stays open. An explicit zero is a deliberately entered price. Do not make an unfinished bill appear complete by replacing blanks with zero.
A working PDF can be useful for a colleague's interim review. Its purpose must remain clear: an unfinished price is not a confirmed free service, and a readable document is not necessarily a complete offer.
Compare three entries
| Entry | Meaning | What to check |
|---|---|---|
| Blank field | No unit price recorded yet | Which calculation or supplier answer is missing? |
| €78.60 | An entered net unit price | Does it match the quantity unit and scope? |
| Explicit €0.00 | A deliberate zero price | Is this commercially and technically intended? |
This table explains input meaning; it is not a price recommendation. Record internally what is still outstanding rather than disguising the gap.
A subtotal is not the whole offer
A sum of priced items does not establish the cost of the complete work. Review the remaining quantities, especially large lump-sum items that could materially change the result.
If you send an intermediate PDF, explain its purpose, for example “Earthworks prices for review; disposal still open”. Use a clear filename and retain the source so later complete versions can be distinguished from the interim check.
Other requirements still matter
Allowing a PDF with unfinished prices does not remove all validation. A damaged source, invalid number or unsupported content can still prevent a reliable output. Read the actual notices rather than assuming every failure is caused by a missing price.
Before the individual purchase, check company details, required logo and billing address. Checkout explains unlocking for that document and its later price changes and repeated PDF downloads.
Move from interim to complete
Resolve open items, save the values and compare the updated PDF with the previous state. Check sample unit prices and quantities as well as the total. The X83 example shows a useful calculation check.
A readable PDF is not a submitted GAEB offer return. Follow the recipient's requirements and the final review checklist.
