Write for someone who was not there

A hurried photo may be impossible to interpret weeks later. Keep the useful context: what happened, where, when, who recorded it and what follows. Another authorised person should understand without calling the author. A brief precise description is more useful than a vague paragraph.

Photograph with a purpose

An overview, the affected area and a detail usually explain a condition better than many similar images. Check light, sharpness, measurements and visible reference points. Avoid unnecessary personal data.

For people, number plates and private spaces, clarify purpose, legal basis and recipients before recording or sharing. Internal documentation does not authorise advertising use. GDPR Articles 5 and 6 address purpose limitation, data minimisation and the legal basis for processing.

A finding is not a completed task

“Damaged waterproofing, north facade, grid line 3, observed on 8 August” describes a condition. Follow-up requires an owner, action and date. Distinguish evidence from operational follow-up; a photograph does not provide technical approval.

Keep plans and versions identifiable

Name drawings, minutes and files with date, area, content and version. Do not leave old and current versions side by side without explanation. Agree the authoritative place for current records. The photo organisation guide covers naming and upload checks.

Build a short routine

Record on site, assign project and area, add an explanation and next action, review open matters that evening and check evidence before closing the job. Too many fields and duplicate entry can reduce quality.

Prepare handover during execution rather than searching several mailboxes later. A photo or diary does not automatically replace a contractual notice, approval or acceptance. Agree explicit delivery and retain its evidence. Evidential value depends on the facts; no app guarantees the outcome of a dispute.
